EXECUTIVE ADMIN ASSISTANT

Direct Report:
Marketing Director

Qualifications:
â€¢ Computer literate with proficiency in all Microsoft office programs or equivalent Macintosh programs. Expertise in Photoshop or other graphics software is an advantage.
â€¢ Excellent command of English, both spoken and written. Ability to write â€˜formalâ€™ Bahasa Indonesia. Conversational or fluency in Japanese and / or other Asian languages is an advantage.
â€¢ Have personal transport, either motorbike or car.
â€¢ Be willing and able to work different shifts and days as required.
â€¢ Outgoing personality with capability to confidently deal with employees and in-house guests, as well as act as an outside sales person when required.
â€¢ Be a strong team player, but able to work independently.

Job Duties:
MARKETING:
â€¢ Assist with all marketing activities at the discretion of the Marketing Manager
â€¢ Represent Taksu Spa and Restaurant at outside events when requested
â€¢ Maintain regular updates of the marketing budget
â€¢ Create an updated monthly calendar of marketing activities for the staff notice board and for discussion at EXCOM meetings.

PUBLIC RELATIONS AND PROMOTIONS:
â€¢ Help create and update media lists, and distribute press releases to appropriate media.
â€¢ Identify public relations opportunities
â€¢ Assist with organizing printing, including competitive quotations of customized brochures, flyers, posters, banners, etc.
GROUPS:
â€¢ Assist with preparation of group quotations, function orders, and other internal and external documents
â€¢ When requested, act as a group liaison and ensure the function order is executed properly
â€¢ Assist with securing group pricing from key competitors
â€¢ Escort potential customers on a detailed site inspection
â€¢ Help to prepare group meeting sales material

SALES:
â€¢ Assist sales personnel with attracting new customers, including initial sales calls and follow-ups to potential clients such as hotels, home stays, drivers, travel agents, restaurants and others.
â€¢ Regular delivery of promotional materials to suitable businesses and places
â€¢ Prepare contracts for spa services
â€¢ Assist with securing prices from key competitors
â€¢ Work closely with finance to ensure prompt payment of commission
â€¢ Track productivity by account

OTHERS:
â€¢ Handle translations from English to Indonesian or vice versa, verbally and in writing
â€¢ Assist Reception staff when requested and provide coverage when there is insufficient coverage during regular shifts or special events
â€¢ Schedule outside appointments
â€¢ Help arrange training sessions
