Job Title:
EXECUTIVE ADMIN ASSISTANT
Direct Report:
Marketing Director
Qualifications:
• Computer literate with proficiency in all Microsoft office programs or equivalent Macintosh programs. Expertise in Photoshop or other graphics software is an advantage.
• Excellent command of English, both spoken and written. Ability to write ‘formal’ Bahasa Indonesia. Conversational or fluency in Japanese and / or other Asian languages is an advantage.
• Have personal transport, either motorbike or car.
• Be willing and able to work different shifts and days as required.
• Outgoing personality with capability to confidently deal with employees and in-house guests, as well as act as an outside sales person when required.
• Be a strong team player, but able to work independently.
Job Duties:
MARKETING:
• Assist with all marketing activities at the discretion of the Marketing Manager
• Represent Taksu Spa and Restaurant at outside events when requested
• Maintain regular updates of the marketing budget
• Create an updated monthly calendar of marketing activities for the staff notice board and for discussion at EXCOM meetings.
PUBLIC RELATIONS AND PROMOTIONS:
• Help create and update media lists, and distribute press releases to appropriate media.
• Identify public relations opportunities
• Assist with organizing printing, including competitive quotations of customized brochures, flyers, posters, banners, etc.
GROUPS:
• Assist with preparation of group quotations, function orders, and other internal and external documents
• When requested, act as a group liaison and ensure the function order is executed properly
• Assist with securing group pricing from key competitors
• Escort potential customers on a detailed site inspection
• Help to prepare group meeting sales material
SALES:
• Assist sales personnel with attracting new customers, including initial sales calls and follow-ups to potential clients such as hotels, home stays, drivers, travel agents, restaurants and others.
• Regular delivery of promotional materials to suitable businesses and places
• Prepare contracts for spa services
• Assist with securing prices from key competitors
• Work closely with finance to ensure prompt payment of commission
• Track productivity by account
OTHERS:
• Handle translations from English to Indonesian or vice versa, verbally and in writing
• Assist Reception staff when requested and provide coverage when there is insufficient coverage during regular shifts or special events
• Schedule outside appointments
• Help arrange training sessions
